Introduction

SmartLever Solutions ("SmartLever," "we," "us," or "our") provides back-office automation for field service businesses. We operate the SmartLever platform, which connects to systems you already use, surfaces actionable items, and drafts recommended actions for your team to review and approve. We also operate this website to describe our services and let prospective customers request demos.

This Privacy Policy explains how we collect, use, disclose, retain, and protect personal and business information when you use the SmartLever platform, when authorized users on your account interact with our services, and when you visit our website. By using our services or website, you acknowledge this policy. If you do not agree, do not use our services or website.

Scope

This policy applies to information we process as a service provider to business customers ("Customers") and their authorized users ("Users"), and to information we collect from website visitors who are not yet Customers. If you are a Customer, your agreement with us may include additional data-processing terms; where those terms conflict with this policy, your agreement controls for Customer data processed under that agreement.

Information we collect

The information we collect depends on how you interact with SmartLever.

Platform and account data

  • Account information: Names, job titles, email addresses, phone numbers, company name, and other details you or your organization provide when creating or administering an account.
  • Billing details: Payment method information, billing contact details, invoices, and transaction records. Payment card data is processed by our payment processors; we do not store full card numbers on our systems.
  • Contact and business information: Information about your organization, including operational preferences, configuration settings, and communications with our team.
  • Connected-system data:Data accessed through third-party integrations you authorize, such as field service management software, accounting software, payroll platforms, and related business systems. This may include job records, customer and vendor information, invoices, payments, schedules, employee or contractor payroll data, and other operational records made available through those systems' APIs.
  • Platform activity: Actionable items detected in your connected data, drafts and recommendations generated by the platform, approvals, rejections, edits, comments, audit logs, and other records of how your team uses SmartLever.
  • Support and communications: Messages, tickets, call notes, and feedback you send to us.

Website and marketing data

  • Demo and lead forms: Information you submit when requesting a demo or otherwise contacting us through the website (for example name, company, email, phone, and topics you want to discuss).
  • Technical data: Browser type, device information, IP address, pages viewed, and similar log data collected through our hosting infrastructure and, where you consent, analytics tools.
  • Cookie preferences: Your choices about optional cookies and similar technologies, stored in your browser.

Third-party integrations

SmartLever connects to third-party systems on your behalf through APIs and similar secure integration methods, using credentials and permissions you provide. We access only the data reasonably necessary to operate the platform — for example, to read relevant records, identify actionable items, draft recommended actions, display information for your review, and execute actions you explicitly approve.

We do not access connected systems beyond the scope of your authorization and our service configuration. You are responsible for ensuring you have the right to connect each system and share the data with SmartLever. Third-party providers maintain their own privacy policies governing data in their products.

How we use information

We use the information described above to:

  • Provide, operate, maintain, and secure the SmartLever platform
  • Connect to authorized third-party systems and synchronize data needed for the service
  • Detect actionable items in your operational data and draft recommended actions for your team's review
  • Record approvals, rejections, and edits made by your team and execute only those actions you authorize
  • Process subscriptions, onboarding fees, and other billing
  • Communicate with you about your account, service updates, and support requests
  • Improve the reliability, accuracy, and usefulness of the platform over time, including as described in the model improvement section below
  • Operate our website, schedule demos, manage sales and CRM processes, and understand how visitors use our site (subject to your cookie choices)
  • Comply with law, enforce our agreements, and protect the rights, safety, and security of SmartLever, our Customers, and others

We do not sell personal information. We do not use Customer data for third-party advertising.

Model improvement and training

SmartLever may use Customer data — including operational records from connected systems, platform-generated drafts, and approvals, rejections, or edits made by your team — to improve the platform, including to evaluate, tune, and train models that power detection, drafting, and recommendation features.

When we use data for model improvement, we take steps designed to reduce identification of individuals where practicable and to limit use to purposes that improve service quality, accuracy, and reliability for our Customers. We do not use your data to train general-purpose models for unrelated third parties.

Opt-out: Business Customers may opt out of having their Customer data used for model improvement beyond what is strictly necessary to provide the service to that Customer. To request an opt-out, contact us at info@smartlever.ai with the subject line "Model Improvement Opt-Out" and include your company name and account contact. We will confirm when the opt-out is applied. Opting out may limit our ability to improve certain features for your account but will not affect core service delivery.

How we share information

We share information only as described below. We do not sell personal information.

  • Service providers: Vendors that help us host, operate, bill, support, and secure the platform (for example cloud infrastructure, payment processors, CRM, scheduling, email, and analytics providers). They process data on our instructions and under contractual obligations.
  • Connected third-party systems: When you approve an action, we transmit only the information needed to carry out that approved action through the relevant integration.
  • Professional advisors: Lawyers, accountants, auditors, and insurers where reasonably necessary.
  • Business transfers: In connection with a merger, acquisition, financing, or sale of assets, subject to appropriate confidentiality protections.
  • Legal and safety: When required by law, legal process, or governmental request, or to protect rights, safety, and security.
  • With your direction: When you or your organization instructs us to share information.

Data retention

We retain information for as long as needed to provide the service, fulfill the purposes described in this policy, comply with legal obligations, resolve disputes, and enforce our agreements.

Active subscriptions: Customer data is retained for the life of the subscription and a limited period afterward as described below.

After cancellation: When you cancel your subscription, we disconnect integrations and wind down active processing. Unless you request earlier deletion or we must retain data for legal reasons, we delete or de-identify Customer data from production systems within ninety (90) days of cancellation. Backup copies may persist for a limited additional period before being overwritten in the ordinary course of our backup rotation. Billing and contractual records may be retained longer as required for accounting, tax, and legal compliance.

Website leads: Demo and marketing inquiries are retained according to our CRM and sales retention practices or until you ask us to delete them, subject to legal requirements.

Security

We implement administrative, technical, and organizational measures designed to protect personal and business data, including:

  • Encryption of data in transit using industry-standard TLS
  • Access controls and authentication for platform accounts
  • Least-privilege access for personnel and systems
  • Monitoring and logging of platform activity
  • Secure handling of integration credentials and API connections
  • Vendor due diligence for subprocessors that process Customer data

No method of transmission or storage is completely secure. If you believe your account or data has been compromised, contact us promptly.

Cookies and similar technologies

Our website uses cookies and local storage for essential operation and, with your consent, optional analytics to understand how the site is used. You can accept or decline optional analytics through our cookie banner. Your preference is stored in your browser. See your browser settings to clear or manage stored data.

Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of personal information we hold about you, to restrict or object to certain processing, and to withdraw consent where processing is based on consent.

How to exercise your rights: Email info@smartlever.ai with your request. We may need to verify your identity and, for Customer accounts, confirm you are authorized to act on behalf of the organization. We will respond within the time required by applicable law.

If you are a User of a Customer account, please contact your organization's administrator first; we may direct certain requests to the Customer that controls the account.

California privacy rights (CCPA/CPRA)

If you are a California resident, the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), provides additional rights regarding personal information.

  • Right to know: You may request the categories and specific pieces of personal information we have collected about you, the sources, purposes, and categories of third parties with whom we share it.
  • Right to delete: You may request deletion of personal information we hold about you, subject to legal exceptions.
  • Right to correct: You may request correction of inaccurate personal information.
  • Right to opt out of sale or sharing: We do not sell personal information and do not share it for cross-context behavioral advertising as defined under California law.
  • Right to limit use of sensitive personal information: Where applicable, you may request limits on use of sensitive personal information beyond what is necessary to provide the service.
  • Non-discrimination: We will not discriminate against you for exercising your privacy rights.

To submit a California privacy request, email info@smartlever.ai with the subject line "California Privacy Request." We will verify your request as required by law. You may designate an authorized agent to submit a request on your behalf.

Categories collected (last 12 months): Identifiers (such as name, email, phone); commercial information (such as subscription and billing records); internet or network activity (such as website usage where analytics are enabled); professional information (such as job title and company); and inferences or profiles generated to improve the service. We collect this information for the business purposes described in this policy from you, your connected systems (with authorization), your organization, and automatically when you use our website or platform.

Children

SmartLever is a business service not directed to individuals under 18. We do not knowingly collect personal information from children. If you believe we have collected information from a child, contact us and we will take appropriate steps to delete it.

Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will post the updated policy on this page and update the "Last updated" date. For active Customers, we will provide additional notice as appropriate — for example by email to the account contact, in-product notification, or other reasonable means — before material changes take effect. Your continued use of the platform or website after the effective date of an update constitutes acceptance of the revised policy, except where applicable law requires otherwise.
